Design Services - Matterport On-site and Virtual Workflow Policies

General Overview

Aubergine Designs provides both on-site and remote coordination for Matterport scanning services. Depending on the package you purchase, scans may be performed by Amberlee directly or by a certified Matterport technician.

All workflows are designed to be smooth, predictable, and professional—so you always know what to expect.

1. Appointment Scheduling

• After checkout, you will receive an automated email with a link to Microsoft Bookings.
• Select your preferred time and date based on availability.
• Bookings must be secured before any scanning can take place.

2. On-Site Policies

(Applicable for All Scans Requiring Amberlee or a Technician On-Site)

Access Requirements

Clients must provide:

• Entry into the property (owner or authorized representative present)
• All rooms unlocked and accessible
• Lights turned on where possible
• Pets secured

Property Preparation

Please ensure:

• Floors are clear and walkable
• Surfaces reasonably tidy
• No active construction work occurring during the scan
• People are not walking through the space while scanning

Note: These policies help maintain accuracy and image quality.

Arrival & Duration

• Scans typically take 30–120 minutes, depending on your package and square footage.
• Amberlee or the technician will confirm arrival time on the day of the scan.

Do I need to be present?

• As-Built Packages (Single & Multi-Room): Yes. Amberlee performs these scans personally and will need full access to all measured areas.
• Real Estate / VRBO Package:
• If a Matterport technician performs the scan, you do not need to be present if a homeowner/agent can grant access.
• If preferred, you may be on-site.

3. Virtual / Remote Workflow 

(Real Estate / VRBO Package Only)

When a Matterport technician is completing the scan:

• We coordinate your technician appointment for you
• You will receive a pre-appointment email with a checklist
• After the scan, Amberlee reviews the file and organizes deliverables
• You receive everything by email within 1–2 business days

You remain hands-off the entire time.

4. Turnaround Time

• All deliverables arrive within 1–2 business days unless otherwise noted.
• Very large properties or complex building layouts may require additional processing time (rare).

5. Weather Policy

Scans can proceed in most weather conditions.
For safety or visibility issues (extreme storms, deep snow):

• Appointments may be rescheduled at no charge.

6. Rescheduling + Cancellation

• Rescheduling must be made at least 24 hours in advance.
• Same-day cancellations may incur a $50 fee if a technician has already been dispatched.
• No fee applies for weather-related changes.

7. Deliverables

Depending on your package, you may receive:

• A 3D walkthrough tour link
• As-built floorplan PDF
• Still photos
• Social media video
• Branded tour pages (Real Estate package)
• Optional BIM/CAD exports (billed at cost)

All files are delivered digitally via email.

8. Hosting Policies

Real Estate / VRBO Package:

• Includes 60 days of Matterport hosting
• VRBO version never expires
• Extended hosting available on request

As-Built Packages:

• Hosting available upon request (no hosting included by default, unless you wish to add it)
